OPEN S.r.l. (trading as Stay Open), an events agency based in Rome and active across Italy, listed on the MePA marketplace. Through eicmahostess.it it provides hostesses, stewards, promoters and interpreters to companies exhibiting at the Milan motorcycle show, handling selection, contracts, training and on-site coordination.
How much does a hostess for the Milan motorcycle fair cost?
The cost depends on the profile, the number of days, the daily hours and the languages required. A standard 8-hour day for a bilingual welcome hostess sits in the mid-range of the Milan trade-fair market; specialist profiles such as business interpreters and team leaders cost more. OPEN S.r.l. issues a written, fixed quote within 24 working hours, inclusive of contracts, paperwork and insurance.
How far in advance should staff be booked?
The recommended window is four to eight weeks before opening, because the best profiles are optioned early by long-standing exhibitors. Requests with 72 hours’ notice are still assessed and often met, subject to remaining availability.
Is the staff employed directly by the exhibiting company?
No. The staff are contracted by OPEN S.r.l., which manages engagement, mandatory notifications, insurance cover and payments. The exhibiting company receives a single invoice and does not become the direct employer of the individual workers.
How many people does a stand need?
As a rule of thumb: one welcome figure per 40–60 m² of stand open to the public, plus one promoter for each product area to cover and a team leader from four people up. Press and trade days need fewer staff but more qualified profiles; public days need more coverage.
Can you provide hostesses who speak English and other languages?
Yes. Nine languages are covered — Italian, English, French, Spanish, German, Portuguese, Russian, Chinese and Arabic — with the level checked at interview and not simply self-declared.

Operational questions
Do you provide staff for a single fair day too?
Yes. Many exhibitors reinforce the team only on the busiest days or the press and trade days. A single day is possible; below four hours a half-day minimum applies.
Are uniforms included in the service?
The basic dress code — dark suit or total black, tailleur, white sneakers depending on the register — is included. Branded uniforms, technical wear or specific styling are supplied by the exhibiting company or produced by us with a dedicated quote.
What happens if someone doesn’t show up?
The replacement is guaranteed and on us. The team leader activates the reserve identified during selection; for the biggest events we keep reserve profiles reachable in the Milan area for the whole fair.
Does the staff already have fair experience?
Unless you explicitly ask for junior profiles at a reduced rate, we propose people with documented fair experience. For every profile we list the events and sectors they have already covered.
Do you also handle the exhibitor badge and venue access?
We assist with the procedure: staff badges are requested by the exhibitor through the venue’s portal. We provide the full named list of the required details in good time and check that the accreditation is finalised before opening.
Do you cover other fairs besides the motorcycle show?
Yes. OPEN S.r.l. operates at all the main Italian exhibition venues — Milano Rho and City, Fiera Roma, Bologna, Verona, Rimini, Vicenza, Bari — and at corporate and institutional events across Italy.
Can we meet or select the profiles ourselves?
Yes. You get a shortlist with the photo, experience and languages of each candidate; on request we set up an introductory video call with the key profiles, in particular team leaders and interpreters.
How do payments work?
A deposit is paid on confirmation, the balance at the end of the event with an electronic invoice from OPEN S.r.l. For public bodies we also operate through MePA, with the payment terms set by law.
Do you also provide stand build or catering?
The scope of this service is staff. Build, catering, location scouting, press office and content production are available through the parent brand Stay Open, which can follow the entire fair project.
What data do you collect about people and how do you handle it?
We process candidate and company-contact data under the GDPR, solely for selection and service management. Contacts collected at the stand remain the exclusive property of the exhibiting company and are handed over and then deleted from our systems.

Lead collection
The structured gathering of contacts at the fair, via badge scanning or a digital form, with shared rules on what qualifies a contact as useful for sales.
Team leader
The person who coordinates the team on site: attendance, shifts, breaks, replacements and a daily report to the client. Recommended from four staff up.
Standing
The mix of posture, image care and stage presence required of stand staff. Agreed during the brief together with the dress code.

The named accreditation that lets staff access the venue. Requested by the exhibiting company on the fair’s portal, with the details we provide.
