What we can do for your stand

Trade-fair staffing services, modular and available one at a time

Welcome, product promotion, languages, lead collection and coordination. Take a single figure or the whole team: the quote stays single and fixed, with OPEN S.r.l. as your only contractual counterpart.

Welcome hostesses and stewards

The stand’s front desk: greeting, qualifying, directing.

The person who intercepts the visitor, works out in thirty seconds whether they are an enthusiast, a journalist or a potential dealer, and points them to the right member of your sales team. It’s the role that protects your salespeople’s time on the busiest days.

  • Welcome in Italian and English, other languages on request
  • Visitor qualifying against your priority list
  • Guest-list and private-invitation management
  • Continuous coverage with rotated breaks

Promoters and product specialists

Staff trained on the spec sheets who tell the bike’s story.

Sales-minded profiles, trained before the fair on your catalogue: engine sizes, trims, delivery times, differences from last year. They deliver the message you decided, in the words you approved.

  • Product briefing in a classroom or video call before opening
  • Agreed, memorised presentation script
  • Static demos, ride-in-the-saddle, queue management
  • Recording of recurring objections and a daily report

Interpreters and bilingual hostesses

Negotiations with foreign buyers and distributors, friction-free.

The Milan show is an international showcase: importers, distributors and trade press arrive from all over Europe and Asia. We provide business interpreters and hostesses whose language level is checked at interview, not self-declared.

  • English, French, Spanish, German, Portuguese, Russian, Chinese, Arabic
  • Negotiation interpreting at the stand and in meeting rooms
  • Language support at press conferences
  • Translation of product sheets and floor materials

Lead collection and contact management

Collected contacts land in your CRM, not on a notepad.

We train the staff to use your badge scanner or lead-capture web app, with shared rules on what really qualifies a lead. At day’s end you get the count; at the end of the fair the full, tidy file.

  • Use of the exhibitor’s badge scanner or digital forms
  • Required fields and quality notes defined together
  • End-of-day report with numbers and issues
  • Final delivery of the tidy, de-duplicated database

Stand coordination and team leader

A single contact who manages shifts, hiccups and replacements.

Above four people it always pays off. The team leader handles the roll-call, shifts, breaks, uniform changes, immediate replacements in case of absence, and keeps a direct line to your stand manager: you talk to one person only.

  • Roll-call and attendance management every day
  • Break rotation that never leaves the entrance uncovered
  • Guaranteed replacement in case of a hitch
  • Direct line to the company’s stand manager

Additional stand services

Cloakroom, material handout, test-ride area supervision.

All the roles that round off the day-to-day of a busy stand: keeping the area tidy, handing out catalogues and gadgets, managing the ride queue, staffing the private-area cloakroom.

  • Cloakroom and reserved guest area
  • Handout of catalogues, gadgets and press materials
  • Test-ride queue and waiting-list supervision
  • Support for the stand’s catering service

Sectors

How the service changes with what you exhibit

Headcount isn’t enough: the type of visitor and the average dwell time on the stand matter.

Manufacturers and importers

Large stands, a full range to cover, international press on the trade days. You need a numerous but tonally consistent team, with a dedicated team leader and interpreters.

Accessories, apparel and helmets

Product that gets touched and tried on: staff must handle sizes and fittings while keeping the area tidy even at the weekend peaks.

E-bikes, micromobility and parts

A mixed audience of enthusiasts and newcomers. The promoter must explain range, regulation and maintenance without jargon, in accessible language.

Services, insurance and finance

A declared goal: collecting qualified leads. Here the value is made by up-front qualifying and disciplined lead collection, not the number of badges scanned.

Media, publishing and community

Interview-area supervision, guest welcome, appointment scheduling and support for live broadcasts from the stand.

Racing teams and hospitality

Reserved areas, cloakroom, invitation management and welcome for partners and sponsors with a named list and access control.

Glossary

The words of trade-fair staffing

A minimum vocabulary to read quotes — ours and anyone else’s — without misunderstandings.

Trade days
The opening days reserved for press, buyers, dealers and industry professionals. They need fewer staff but more qualified, often bilingual, profiles.
Lead collection
The structured gathering of contacts at the fair, via badge scanning or a digital form, with shared rules on what qualifies a contact as useful for sales.
Team leader
The person who coordinates the team on site: attendance, shifts, breaks, replacements and a daily report to the client. Recommended from four staff up.
Standing
The mix of posture, image care and stage presence required of stand staff. Agreed during the brief together with the dress code.
Exhibitor badge
The named accreditation that lets staff access the venue. Requested by the exhibiting company on the fair’s portal, with the details we provide.
Business interpreter
A professional who interprets a commercial dialogue in real time for two people or a small group — different from a conference interpreter and better suited to the stand table.
